Connecting your calendar

Connecting the calendar is the full integration. Events sync, guest lists sync, and new registrations keep arriving on their own. Luma Plus is required for API access.Step 1: Get your Luma API key
  1. Go to luma.com/calendar/manage/api-keys.
  2. Select the calendar you want to connect, for example your company’s event calendar.
  3. Copy your API key. If you don’t have one yet, click Generate.
Step 2: Connect in heyBTW
  1. In heyBTW, click Luma under Integrations in the left sidebar.
  2. Paste your API key in the Luma API Key field.
  3. Click Test API Key to verify the connection.
  4. Click Save & Connect.
The page then shows Connected Account as Active and an Events Synced count from your calendar.

Importing events

Under Available Events, switch between Upcoming and Past and import any event as a collab. Refresh Events re-reads the calendar if something new isn’t showing yet.Turn on Auto-Import to skip that step entirely. New Luma events become collabs as they appear on the calendar.Turn on Auto-Enrich to resolve attendees to company, title, LinkedIn, and seniority as soon as an event imports. Import by Luma URL

For co-hosted events, where the event lives on someone else’s calendar, and for anyone without Luma Plus.Step 1: Add the event to your workspace
  1. Copy the event’s Luma URL.
  2. In heyBTW, open Integrations, then Luma.
  3. Paste the URL under Import by Luma URL and click Preview.
The public event details import immediately and the event is now bound to your workspace. No guest list yet.Step 2: Grant guest list accessIn Luma, add events@heybtw.com as a host on the event and set the permission level to Manager, which is the level that includes guest list access. There is no need to display the host publicly.heyBTW then joins the guest list to the event you added and it appears in your workspace. Attendees sync from that point on, the same as any calendar-connected event.If you skip step 2, you keep the event details and can upload attendees by CSV. That is a working setup, just a manual one.
Step 1 is what ties the event to your workspace, so do it from the workspace you want the attendees to land in.
Co-hosted events where both sides use heyBTW. Only one workspace needs to do this. Whoever adds the Luma URL and gets events@heybtw.com on the event holds the collab, then adds the other company as a partner in heyBTW and that partner has access. There is no need for both sides to claim the same event.What the partner then sees is governed by Sponsor Mode, and it is worth a look before you invite them. Co-host access means your workspace holds the full Luma invite list, including everyone who never responded. Partner Attendee Visibility defaults to Approved only so that list is not shared by accident.

Sync speed

Attendee data syncs in batches of 100. For larger events or multiple events, the full sync may take up to an hour. New registrations sync automatically after the initial import.

What Gets Captured

For every synced event:
  • Registrations and RSVPs, with timestamps
  • Attendee check-ins
  • Contact details: name, email, company
  • Registration question responses, if enabled
Email is the primary key for matching attendees to your CRM. An event that does not capture email produces attendance data but not attribution.

Cross-Platform Events

Your partner uses Splash, you use Luma. No problem. Both platforms sync into the same collab. Attendee data is unified regardless of which platform each side uses.

Troubleshooting

Events not showing up. Make sure the event is linked to a collab. Only events connected to collabs sync attendee data. On Luma, try Refresh Events before anything else. Attendee data missing. Check that your event platform captures email addresses. Email is the primary key for matching. Luma connection fails. Verify you have Luma Plus enabled and that the API key is from the correct calendar. Use Test API Key to check before saving. Imported a Luma URL but no guests appeared. URL import brings in the event details. Guests arrive once events@heybtw.com has been added to the event in Luma as a host with Manager permission. Check the permission level first, since anything below Manager does not include guest list access. Upload a CSV in the meantime. Meetup won’t connect. Confirm the account is Meetup Pro. Standard accounts are rejected at the authorization step.
